Your information

Privacy policy

Last updated: October 21, 2026

Root and Stem Systems ("we," "us," or "our") explains here how we handle personal information in connection with this website and inquiries about our services. This policy does not cover software we build for clients or third-party websites, which may have their own privacy policies.

1. Information you provide

Our project inquiry form collects your name, email address, selected service, and project description. You can also choose to provide your company name, budget range, and preferred timeline. Company, budget, and timeline are optional.

When you submit the form successfully, we save these details in our database with an inquiry reference and submission date and time. We use this record to respond to you and manage your inquiry. Inquiry records are not publicly listed on this website.

Please do not send passwords, payment card details, government identification numbers, health information, or other sensitive personal information in a general inquiry.

2. Website and device information

When you visit, the server or hosting provider may record technical information such as your IP address, browser and device type, requested pages, visit time, referring page, and error information. This information helps deliver the website, troubleshoot problems, and protect it from misuse.

The inquiry form uses an automated spam check and limits submission frequency. The submission limit stores a shared request count and time window; it does not store your IP address.

3. How we use information

  • Respond to your questions and discuss the services you requested.
  • Understand your project, prepare proposals, and manage business communications.
  • Operate, maintain, and secure the website and our business systems.
  • Keep necessary business records, meet legal obligations, and resolve disputes.

Sending an inquiry does not subscribe you to a marketing mailing list. We do not use inquiry information for unrelated advertising.

4. Cookies, analytics, and advertising

This website does not currently include advertising pixels, third-party analytics scripts, or code that sets cookies or browser storage for tracking visitors. Fonts and brand images are served with the website rather than loaded from third-party font or image services during your visit.

Your browser may cache files or remember form entries according to its own settings. You can manage cookies, cached files, and autofill through your browser. We do not track your activity across other websites, including when a Do Not Track preference is enabled.

If we add optional analytics or tracking technologies, we will update this policy and provide any choices or consent controls required before using them.

5. When information is shared

We do not sell personal information or share it for cross-context behavioral advertising.

We may share information with providers that help us host the website, handle email, store business records, or support our operations, to the extent needed for those services. We may also disclose information when legally required, to protect rights and safety, or in connection with a business transfer such as a merger or sale. Any business transfer remains subject to applicable law and the privacy commitments governing the information.

6. How long information is kept

We retain personal information only as long as reasonably necessary for the purposes described here. The period depends on whether an inquiry becomes an ongoing project, our recordkeeping obligations, and any need to resolve disputes or protect our systems. When information is no longer needed, we delete it or remove identifying details. Backup copies may remain until the normal backup cycle expires.

7. Security

We use reasonable administrative and technical safeguards appropriate to the information we handle. Access is limited to people and providers who need it for business purposes. No website, storage system, or method of transmission can be guaranteed completely secure.

8. Your choices and privacy requests

You can choose not to provide personal information, although we may need contact and project details to respond to an inquiry. You can ask us to access, correct, or delete information you have provided by contacting us below.

Depending on where you live and which privacy laws apply to our business, you may have additional rights, such as obtaining a copy of your information, objecting to or restricting certain uses, withdrawing consent where processing relies on it, or appealing a denied request. You may also have the right to complain to your local privacy authority.

We may need to verify your identity before acting on a request. We will respond within the period required by applicable law and explain any exceptions, such as information we must retain for legal reasons. We will not discriminate against you for exercising applicable privacy rights. If an appeal right applies, you can submit an appeal using the same contact details.

9. Children’s privacy

Our website and services are intended for businesses and adults, not children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided information to us, contact us so we can investigate and delete it as appropriate.

10. Other websites

If this website links to another website, that website’s privacy practices apply when you visit it. We do not control how other websites collect or use information.

11. Changes to this policy

We may update this policy when our services or information practices change. The updated policy will appear on this page with a revised date. We will provide additional notice or obtain consent when required by applicable law.
